Start with the source and the outcome

Financial Document Conversion Tool: Verification Workflow is most reliable when the source document and the intended handoff are defined before processing. Keep the original PDF, confirm the statement period and decide whether the result is a review workbook, a CSV import or an audit working paper.

The goal is not simply to produce a file that opens. It is to preserve the information needed to check source comparison, exceptions and approval evidence against the source before anyone relies on the result.

Review checklist

  • Confirm the source document and period
  • Choose the downstream format
  • Keep the original PDF beside the result

Review source comparison, exceptions and approval evidence

Compare the converted output with the source in its original order. Check the first and last meaningful records, inspect page boundaries and look for repeated headers, carried balances or wrapped lines that have been mistaken for data.

Test representative values rather than relying on a successful download: verify at least one debit, credit, date or table total relevant to this workflow. If a page is unreadable or unsupported, flag it for review instead of treating it as complete.

Review checklist

  • Compare source rows with extracted rows
  • Test dates, amounts and descriptions
  • Record unsupported or uncertain pages

Approve before importing or sharing

Only move the reviewed result into accounting, reporting or another system after exceptions are resolved. Keep corrections visible in an approved working copy and retain the untouched conversion for comparison.

The File Workshop prepares reviewable document data; it does not decide tax treatment, ledger categorisation or whether a source statement is authentic. A responsible reviewer remains accountable for the final import and any sensitive information shared.

Review checklist

  • Reconcile totals or running balances
  • Test a small import range first
  • Retain review evidence and the source
